Privacy Policy

We collect information you provide directly, information generated when you use ProofFlight, and information created when a pilot documents your property.

• Account information: your name, email address, phone number, password, and role (homeowner, pilot, or administrator).
• Property and booking details: the property address, service area, survey type, appointment times, and any notes you share about your property.
• Survey media: the aerial footage, still images, and condition information captured during a survey and stored in your ProofFlight Vault.
• Payment information: payments are processed by Stripe. We do not store full card numbers on our servers; we retain transaction identifiers and status.
• Pilot information: for pilots, your FAA Part 107 certificate details, service area, availability, agreement signature, and payout account details held by Stripe Connect.
• Usage and device data: log data such as IP address, browser type, and pages viewed, used to operate and secure the service.

• To create and manage your account and authenticate you.
• To match you with a certified pilot, schedule surveys, and deliver footage to your Vault.
• To process deposits, balances, and pilot payouts.
• To send transactional messages such as booking confirmations, job assignments, and footage-ready notifications.
• To operate, maintain, secure, and improve the service, and to prevent fraud and abuse.
• To comply with legal obligations and enforce our terms.

We do not sell your personal information. We share it only as needed to operate ProofFlight:

• With pilots: an assigned pilot receives the property address and appointment details necessary to perform your survey.
• With service providers: Stripe (payments and payouts), Amazon Web Services (secure media storage), Resend (email delivery), and Google Maps (geocoding), each acting on our behalf.
• For legal reasons: when required by law, to protect our rights, or in connection with a merger, acquisition, or sale of assets.
• At your direction: when you share Vault footage with an insurer, adjuster, or other party using a link you generate.

Footage and reports captured for you are stored in your ProofFlight Vault. You control when to download or share them. We may retain copies to provide the service, resolve disputes, and meet our legal obligations. We do not use identifiable footage of your property for marketing without your permission.

We keep personal information for as long as your account is active and as needed to provide the service, then for a reasonable period to comply with legal, tax, accounting, and dispute-resolution requirements. You may request deletion as described below.

We use administrative, technical, and physical safeguards designed to protect your information, including encrypted transport, access controls, and reputable cloud infrastructure. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

• Access, correct, or update your account information from your account settings.
• Request a copy or deletion of your personal information by emailing support@proofflight.com.
• Opt out of non-essential communications; we may still send you transactional messages about your bookings.
• Depending on where you live, you may have additional rights under laws such as the CCPA or GDPR.

We use strictly necessary cookies to keep you signed in and to secure the service. We do not use them to build advertising profiles.

ProofFlight is intended for adults. It is not directed to children under 18, and we do not knowingly collect their personal information.

We may update this policy from time to time. When we do, we will revise the date above and, for material changes, provide additional notice.
